Portfolio Management

Our detailed dashboard and reporting structure will give commercial real estate organisations an automated real time overview of user activity and performance across all properties, with no dependency on manual updates by staff members. This data can be managed within your dashboard and can also be shared with your other existing systems (e.g., CRM, property management software, etc) using our API. User activity data includes enquiries, registrations, viewings, applications, virtual tours, contract signings, loan applications, deposits paid, plus much more.

Data Room

The sales team can uploads the brochure, plans, investment memorandum, marketing documents, legal documents for easy access by registered interested parties. If the sales team do not have access to the legal documents, the vendors lawyer can be granted controlled access to upload legal documents. The data room is fully customisable by the sales team, features include a nested folder structure, NDA signing, OTP signing, KYC/AML, customer download activity tracking, and document version control. Choose who to approve and when.

Client Dashboard

Provide the vendor or landlord with a sophisticated dashboard with live data and real time updates on their properties, showing levels of interest, offers, viewings, legal downloads, and more. Data Collection

We provide one of the most flexible and comprehensive form builders on the market. Real estate companies can gather any type of data from customers, at any stage, in any format, such as text, dates, ranges, document uploads, drop down menus, payments, referrals to third parties, signature on a document. Different forms for different stages of the process can be created and can be applied to an individual property. Using our API, all this data can be added to your existing systems. In addition, using our document generator, this data can populate fields in any customised template, such as a new contract for sale or a lease agreement.

Customer Qualification

Qualify the customer as they register. Conduct KYC/AML, confirm funding status and legal entity, collect documents such as proof of funds and Photo ID, request track record of previously completed deals. Choose from templates or create your own form.

Client Onboarding

Fast onboarding of sellers and landlords. Generate a pre-populated client agreement in the required format and send for DocuSigning, perform KYC/AML, collect a marketing fee online, send a customisable property information form for fast completion by the client.

Offer Management

Initiate a carefully managed offer process with approved, qualified, registered parties. Choose a pre-defined offer process such as Private Treaty, Tender, Best & Final Offers, or customise your own process.  Add a timer, set reminders and automate all communications to interested parties. See all conditions attached to each offer. Choose for the offers to be indicative or legally binding. Run multiple rounds of offers, filtering out the least favourable offers.

Linked to the Data Room, ensure all parties have read the contract. Quickly compare offers side-by-side, including offer amount, conditions, funding status, and completion timescale. All offers are tracked, dated and time-stamped and an independent audit report can be produced confirming a true process was held.

Contract Signing

Generate a contract and send for DocuSigning to all parties. Create, save and re-use multiple templates for Heads of Terms, Contracts for Sale, Purchase Agreements, and Leases. Auto-fill all fields with the required property data, customer data, deal information, and special conditions. Track opening and signing within the your dashboard. No need for a separate DocuSign account.

Payments

Arrange for the payment of a deposit either by card payment or bank transfer. Collect card payments through our Stripe integration or present bank account details for electronic funds transfer (EFT).

Microsite

We can provide real estate companies with their own transaction marketplace via a white-labelled microsite. Our solution provides a separate live, searchable listing and transaction platform for all asset classes. This can include transaction types such as Private Treaty, Tender Sales, Auctions and Lettings. All data generated via your microsite is time stamped, generating a real time independent audit trail for each asset.   

Booking Engine

Flexible booking engine for appointments, which can be used for viewings, guided virtual tours, meetings, call backs, etc. Options include user requested times, advertised fixed time slots, etc. This can be integrated with Google Calendar, iCal, Outlook, and/or your CRM calendar.

Customisation (User Journey)

Fully customisable user (buyer/applicant) journeys and communications, including customisable registration forms, customisable timing of steps in the user journey, customisable emails, customisable document templates.

Enquiry Management

All enquiries from all sources (e.g., your website, mailing lists, portals etc) are auto-managed, and auto-responded to, with a link to the correct property sent to every enquiry, for self-registration by the user. With API integration turned on, all new users can be auto-added to your CRM and, as they continue their journey, their record is auto updated on the CRM.

Customer (Buyer/Applicant) Dashboard

A comprehensive dashboard is provided to each user storing their data, documents, and transaction history. The dashboard is interactive and allows the user to continue their journey at their own pace, in their own time. When integrated, this data can be continually fed to the real estate company’s existing systems. At all times, you can check the progress of every user and send prompts.

Customisation (Branding)

You have full control over the customisable branding, including own-branded email templates and email domain name. We provide a unique user (buyer/applicant) experience via a customisable widget that can be a floating panel launched by a button with a prompt bubble on each page of your website or can be integrated as a fixed container on the page, always open, looking like a native part of the page’s real estate. Separate approaches can be taken for desktop or mobile. For example, you may prefer a fixed container on desktop, but a floating button and panel on mobile.
